We are looking for an Accounts Payable Officer (12 months contract) on full time basis based in Heatherton. This role involves processing and paying supplier expenses, employee reimbursements, and supplier stock-related invoices adhering to strict due dates and timelines.
What you'll do
- Monitoring and ensuring all emails received to the IHG Expenses inbox are attended to and responded to in a timely manner.
- Processing weekly EFT, Bpay, Mid-Month, EOM, Year End and Urgent payment runs, meeting strict timelines.
- Liaise with suppliers to resolve issues regarding accounts invoices, including outstanding invoices, complete supplier reconciliations.
- Assist in the education of staff and other stakeholders with regards to Accounts Payable processes and procedures to ensure compliance to IHG organisational policies and DOA requirements.
- Ensure all invoices and reimbursements are appropriately charged to the correct general ledger accounts and are appropriately coded and authorized.
- Checking and verifying invoices: checking ABN details, GST, $Amounts and delegation of authorities are within correct limits.
- Process invoice and reimbursement batches in a timely and accurate manner in the Accounts Payable systems.
- Check bank accounts details for all the employee expense claims.
- Assisting with and completing internal and external Audits.
- Quarterly review and update of Delegation of Authority (DOA) listings.
- Annual review of DOA with General Managers - requires communications with internal and external stake holders.
- Maintain standard operating procedures and provide continued support to educate Accounts Payable team members, for business continuity, on payments related processes and procedures.
What you'll bring
- Minimum 3 years' experience in similar role.
- Retail/Wholesale industry experience - preferred not essential.
- Experience in Microsoft AX or similar ERP systems - an advantage.
- Experience working in a large and complex organization with high volume data is required.
- Intermediate Excel skills.
