Job Description:
We are seeking a motivated and organized Administration Assistant / Receptionist to join our team. As the first point of contact for our clients, suppliers, and visitors, you will play a crucial role in delivering outstanding customer service and ensuring the smooth operation of our office. This is an exciting opportunity to be part of a vibrant and growing company in the construction industry.
Reporting to the Working Director and Office Coordinator, your role will involve client relations management/liaising, data entry, meeting schedule management and quotation communication. The role will also involve contract preparation and records management of client contractual profiles.
We offer flexible working hours and are looking for the right person to fill the position from Monday-Thursday weekly.
Candidates must have their own transport to and from work.
Your Key Responsibilities will include but are not limited to:
- Proven computer literacy and efficiency, with the ability to quickly learn new programs.
- Assist with renewals of supplier agreements
- Ability to schedule and record meetings in a Personal Assistant role.
- Organisational skills with the ability to prioritise as needed.
- Professional manner with excellent written and verbal communication skills.
- Ability to maintain records management, client contract creation and send relevant files.
- Proven ability to work autonomously, and take initiative.
- Quick learner and eager to pick up company processes.
- A team player attitude, willing to assist where needed.
Your Skills and Experience:
Previous experience is highly regarded. We are looking for someone who brings a positive attitude, initiative and is eager to learn on the role.
The preferable candidate will have strong communication and interpersonal skills, and be comfortable working in a collaborative team environment.
You will bring:
- Previous administrative experience (desirable). Any relevant administrative qualifications preferably in the construction or related industry will be highly regarded.
- A positive and welcoming customer service skill set.
- Demonstrated ability to work effectively as part of a high-performing team.
- Strong computer skills with a clear understanding of MS Office Suite and Canva.
- Attention to detail and demonstrated accuracy with work.
