Legal Receptionist and Administration Assistant – Part Time

We are seeking an enthusiastic Receptionist/ Administration Assistant with legal office experience to assist our friendly team on a part-time basis. You will be the face and first point of contact for the clients of the Firm. As an integral part of our team, you will be expected to support our Solicitors and Paralegals as well as attend to administration and ad-hoc tasks.
Key responsibilities include, but are not limited to:
- Attend to incoming out outgoing phone calls, emails, client enquiries and scheduling appointments
- Manage Firm diaries
- Greet clients
- Take payments
- Maintain a well presented office for clients and staff
- Open, close and archive files, including data entry
- Type correspondence / documents from Dictaphone or notes
- Support and assist other staff in their roles when needed
- Attend to daily mail and banking
- Attend to general filing and daily bring-ups
- Photocopying and scanning
- Stationery orders
- Some preparation and updates of marketing and advertising materials
Skills and attributes
- Previous experience in a legal office preferred, but not essential
- Professional presentation with impeccable communication skills (verbal, written and interpersonal)
- Be able to work efficiently in a fast-paced environment with the ability to multitask, both autonomously and as a part of a team
- Possess strong attention to detail
- Show initiative, sound organisation and time management skills
- Be proficient in the use of Leap Legal software, Microsoft 365 (Word, Outlook). Basic excel skills would be an advantage
- Accurate typing skills are essential
- Ability to work as a part of a team
- Experience in accounts not essential but will be considered an advantage
