About the Role
We are excited to offer a permanent full-time position within our dynamic team, focusing on providing invaluable support to our field services staff. This office-based role involves, but is not limited to, interacting with clients by phone and email, coordinating and managing our databases, complying with administrative systems, processes, and policies to ensure accuracy, proper storage, and accessibility of all information, as well as creating documents that our clients rely on in a legal environment.
Previous experience in administration is essential, and candidates with experience in legal support or banking/financial services have an advantage. On-the-job training specific to the mercantile services industry will be provided, building upon your underlying skills. As a small company, flexibility within the role is required at times.
Duties include but are not limited to:
- Database administration: processing new instructions, maintaining existing files and finalising matters.
- Handling incoming and outgoing correspondence.
- Acting as a liaison between clients and staff members.
- Providing administration support to field services staff.
- Preparing legal documents using provided templates.
- Maintaining office supplies inventory.
- Generating invoices and receipting payments (MYOB/Account Premier).
The suitable candidate will possess the following characteristics and skills:
- Previous experience in high-level administration.
- Strong IT skills (Office 365 and Apple products). Experience with AI is an advantage.
- Enjoyment of customer service and confidence in turning enquiries into sales where possible.
- Ability to work independently, autonomously, and prioritise tasks effectively.
- Exceptional written and verbal communication skills.
- Accuracy and speed in touch-typing.
- Commitment to adherence to procedures and continuous improvement.
- Keen attention to detail and high accuracy in data administration and compliance.
- Logical thinking ability, with a proactive approach to problem-solving.
- Demonstrated integrity and honesty.
We offer a negotiable salary commensurate with experience and skills. While a driver's license is advantageous, it is not mandatory for this role.
