As a result of the increased demand for our existing services and the planned launch of a new service delivery platform, My Food Business, we seek an experienced EA / Administration Coordinator to join us in this varied, newly created position. 

About the Role:
Reporting to the CEO, this key support role will provide day to day support to the senior management team, whilst also being responsible for coordinating all administrative support tasks across the business. 

Duties will include but not be limited to:

  • Managing several email inboxes and calendars for the CEO and the senior management team (3 people)
  • Update and manage the company CRM;
  • Provide project and general company services support and administration, including onboarding new clients, scheduling meetings and other administrative tasks;
  • Schedule, prepare for and attend Senior Management Team meetings, weekly team meetings, and company planning days; record and manage follow-up actions;
  • Maintain filing and document management systems across several platforms, including MS Teams and Dropbox;
  • Provide administrative support to our online and in-person training programs;
  • Provide administrative support for the launch and operations of our new service delivery platform, My Food Business;
  • Schedule and coordinate podcast guest interviews and support with the administration and coordination of the podcast;
  • Manage and maintain the company contractor and supplier directory, supporting contractor engagement and onboarding;
  • Schedule social media content using scheduling software;
  • Manage website domain registrations, other company systems and processes (memberships and subscriptions) and oversee the basic maintenance of the company website; 
  • Book and manage domestic and international travel;
  • Much, much more!

Hours, Days and Location:
This is a permanent Part Time, Work from Home position. The hours will be 15 hours per week across Tuesday, Wednesday and Thursday. 

We are flexible with the regular hours, but they must be within standard business hours (East Coast time zone) and on Tuesdays we have a weekly team meeting at 9:30am AEST which you would need to attend.

About You:
We are looking for a super-organised, structured, tech-savvy and adaptable team member who has experience working in a small business environment.

You will be a reliable and experienced EA / Administration Coordinator with exceptional communication and interpersonal skills who loves to streamline, systemise, organise and coordinate. 

It’s essential that you are a proficient MacOS user who possesses advanced Office 365 skills and is capable of comfortably navigating and learning various technology platforms. 

Some of the tools we use include MS Teams and Planner, Dropbox, Canva, WordPress, Loomly, various CRM platforms (HubSpot, Campaign Monitor and ConvertKit), and Learning Management Systems (Kajabi, Searchie and LearnWorld).

Above all, you must be switched on, motivated, a quick learner and someone who is passionate about supporting us to celebrate the food producers we serve.
