THE ROLE
The Administration Officer – Activities (Sport and Cocurricular) fulfills a key role within the College Activities team. They provide administrative support to the Dean of Studies – Activities in all areas, including but not limited to, excursions, camps, cocurricular planning, sports, performing arts and the service program.
RESPONSIBILITIES AND DUTIES
The key responsibilities of the role include (but are not limited to):
General Administration
- Support the Dean of Activities in the administration and organisation of the College Activities Program, including oversight of the planning and communication, via Consent2Go, of events and activities.
- Liaise with staff in relation to completion of Consent2Go for their respective activities, providing a source of support and information for the Consent2Go platform.
- Oversee the payments made for cocurricular activities throughout the year, ensuring all participants have met their financial obligations.
- Attend planning meetings and work closely with the Events Officer to ensure the College Activities calendar is up to date, accurate and clearly communicated to families.
- Work with the Dean of Activities and the Marketing Manager to ensuring the accurate communication of information in relation to the Activities program.
- Assist in the review and development of documentation, such as policies, procedures and guidelines, to support the effective and safe running of the Activities program.
- Contribute to the development of promotional materials and strategies to increase participation in sports and Cocurricular activities.
- Utilise various communication channels to publicise events, achievements, and opportunities related to the Sport and Cocurricular programs.
- Oversight of the Activities and Sport email accounts and process, forward and respond to parent queries via this email.
Sports Administration
- Oversee, maintain and communicate the College Sporting Calendar, including representative carnivals and events.
- Coordinate, compose and edit communication of a high standard to support the Sport Coordinators and Dean of Activities.
- Oversee the administration of sporting events, competitions, and fixtures within the school.
- Oversee the administration of student selection in representative events and carnivals.
- Liaise with external sporting organisations for fixtures, competitions, and tournaments.
- Assist in the development, review and implementation of school sport policies and procedures.
- Oversee the administration of sporting awards, ordering certificates, medals and trophies.
Cocurricular Administration
- Manage and oversee the administration of cocurricular events, utilising platforms such as Consent2Go, SEQTA, Trinity App, Trinity Website, and Staff Portal.
- Facilitate communication between staff, students, and parents regarding cocurricular activities.
- Schedule rehearsals, practices, and performances for cocurricular groups including the booking of facilities, in consultation with the Dean of Activities.
- Manage administrative tasks related to College cocurricular activities, including player registrations, payments, permissions, and scheduling.
- Manage administration of Trinity Basketball and Netball Clubs, overseeing player registration and payments.
- Oversee the administration of the College Camps program, including scheduling, booking resources and communication of details via College platforms.
- Maintain accurate records of participation, achievements, and attendance for both sports and Cocurricular programs.
- Handle inquiries and provide information to students, parents, and staff regarding Sport and Cocurricular activities.
- Supported by the Dean of Activities, manage the bookings and hire of College facilities to external users including policy distribution, payments and inductions.
- Any other duties as required by the Principal, or their delegate.
QUALIFICATIONS
- Current Working with Children Check
- Current First Aid certificate
- Related training or qualification in Sports Administration of Event Planning would be highly desirable
EXPERIENCE
- Demonstrated ability to work collaboratively and cooperatively in teams across an organisation to deliver shared goals
- Experience using computer systems and platforms to manage events and activities
- Experience working in a Sporting Club or as a member of a committee would be advantageous
SKILLS
- Exceptional communication skills both written and verbal, strong interpersonal skills and experience in maintaining cooperative partnerships within the organisation
- Exceptional ICT and administrative skills
- Resourceful and a strong ability to liaise with external organisations to collect accurate information regarding event details, programs, registration and payments
- Ability to collate and distribute schedules, maintain calendars and plan events
- An organised management style and proven ability to meet deadlines
- An ability to maintain confidentiality and professionalism
- Skilled in negotiating conflicting interests to ensure a positive outcome
- A team player with experience working both within a team and independently
- Well organised and committed
- High-order critical thinking, analytical and problem-solving skills and the ability to develop solutions
- A willingness to do what it takes to get the job done, coupled with a flexible approach and pleasant manner
