NatRoad is looking for an energetic, focused and professional Administrator to join our small, but dynamic team in Canberra. The role will play a key role in ensuring the smooth operation of our office and administrative functions. This role requires meticulous attention to detail, excellent communication skills and the ability to manage multiple tasks efficiently.
The Administration Officer is responsible for providing support to the Chief Operations Officer and wider team.
Key responsibilities:
- Manage administration to support COO for all board related activities.
- Manage and organising day-to-day relationships with providers and suppliers.
- Support the COO in the coordination and delivery of the annual conference.
- Manage all office administrative activities including mail and storage.
- Coordinate staff requirements such as travel and onboarding new starters.
- Coordinate invoicing and payments of supplier invoices with bookkeeper.
- Coordinate computer equipment, software access, and any IT query from the team as required through the technology service provider.
- Coordinate and maintain communications across the team as required by the COO including: office procedures, health & safety protocols, building maintenance, car parks, etc.
- Work with the building management to ensure safe access for the team to the building, including obtaining passes, providing desk/chairs/IT equipment.
- Support the wider team to ensure the office is tidy and clean.
- Provide phone back up when necessary.
- Coordinate with NatRoad invoicing and payments of supplier invoices with bookkeeper.
- Support the delivery of key Association projects as required.
- Preparing and generating reports as required.
Candidates should ideally possess the following:
- Good communication (both oral and written) and interpersonal skills with a courteous and cooperative approach.
- Professional and friendly telephone manner.
- Good working knowledge of computer software packages including Microsoft Office Suite.
- Demonstrated capacity to undertake administrative tasks efficiently and complete them in a timely manner.
- Good attention to detail and accuracy.
- High level of initiative and energy, flexibility and personal accountability with the ability to multi-task, work under pressure and to strict deadlines.
- Proven ability to work as a member of a small team, establish effective working relationships with all levels of staff, including the ability to gain the support and co-operation of others.
- Demonstrated ability to remain calm, considered and organised, as well as a positive, can-do attitude.
- Ability to take a proactive approach to tasks and issues on a day to day basis.

General conditions of employment
This is a full time position at 38 hours per week however, flexible working arrangements may be available for the suitable candidate.
Remuneration based on experience.
The position is based in Civic, ACT.
Pre–employment checks may include a requirement for proof of identity, evidence and currency of qualification, drivers licence and other relevant personal documentation.
Referee checks on at least two independent referees are mandatory and will be conducted prior to an offer of employment being made.
