Office Administrator responsibilities include:
• Coordinating office activities and operations to secure efficiency and compliance to company policies
• Keep stock of office supplies and place orders when necessary
• Support the induction of new employees as they come on board
• Follow all admin systems
• Greet visitors and direct them to the appropriate room
• Conduct clerical duties and correspondence, including filing, answering phone calls, responding to emails, messages via sms through software system and preparing documents
• Check all relevant documentation is completed before initial consult
• Manage schedules and bookings for clients
• Manage phone calls and correspondence (e-mail, letters, packages etc.)
• Support budgeting and bookkeeping procedures
• Track stocks of office supplies and place orders when necessary
• Transcribe case notes in software system for each therapy session
• Import and update data into Excel spreadsheet for each client from each therapy session
• Manage client payments for therapy sessions
• Assist colleagues whenever necessary
• Making resources for therapy sessions as needed
• Taking minutes at meetings
• Proven experience as an office administrator, office assistant or relevant role
• Outstanding communication and interpersonal abilities
• Excellent organisational skills
• Familiarity with office management procedures and basic accounting principles
• Knowledge of NDIS
• Customer service oriented
• Able to complete complex administrative tasks with minimal supervision

• Excellent verbal communication skills
• Able to use a computer and the main software packages competently (Word, Excel, Powerpoint)
