About the Role: The Administration Officer position within the Finance and Operations portfolio is integral to the smooth functioning of VCEA. Reporting to the Chief Operating Officer, this role involves providing administrative support to the portfolio leadership team. Key responsibilities include executive and secretariat support, contract management, and assisting with the preparation of various documentation.
Key Responsibilities:
- Act as the first point of contact for incoming enquiries related to the Finance and Operations portfolio.
- Manage the COO's calendar and appointments (and potentially the CFO as well, as a key part of the portfolio leadership team), including preparation of schedules and pre-reading materials.
- Liaise with staff and external agencies to provide timely and accurate information and assistance.
- Coordinate document workflow and support meetings, including agenda preparation and logistical arrangements.
- Provide secretarial services for meetings and assist in creating documentation such as briefing papers and presentations.
- Coordinate record-keeping processes and assist with invoice processing and travel arrangements.
- Perform other duties as assigned by the Chief Operating Officer.
Key Selection Criteria:
- Well-developed verbal communication and listening skills, with the ability to communicate and present in a professional manner.
- Ability to produce clear, accurate, and timely written communication for a range of audiences.
- A high degree of attention to detail.
- Ability to build and maintain effective internal and external stakeholder relationships.
- Ability to assist senior stakeholders to meet deadlines and to support decision-making, while maintaining a high level of confidentiality.
- Ability to navigate conflicting demands and priorities with the capacity to self-direct and be responsive to supervision and general direction when required.
- Excellent ICT skills with strong competency in the use of the Microsoft Office suite. Proficiency in Microsoft Office suite and other relevant ICT skills.
