The Opportunity
We have an opportunity for an experienced Administration Officer (Heavy Vehicle Services) to join our Transport Operations team, minimum 3 days per week, who is residentially based in Karratha.
This role will be responsible for ensuring compliance for all Heavy Vehicle Operations as well as offering support to all areas of the business with adherence to legislation, policies and procedures.
Role Requirements:
- Establishing and maintaining efficient administrative processes and practices within the business;
- Facilitating the permits & license applications for dangerous goods, road accesses and other requirements by Corps Groups operations;
- Administering equipment permits and accreditations including National Heavy Vehicle Accreditation, road access, MRWA and other;
- Monitoring, managing and reporting on developments including changes in legislative, and regulatory obligation;
- Maintaining internal knowledge database on permits, routes and vehicles and all relevant procedures;
- Ensuring compliance of all Corps Group records including permits, licenses and other requirements;
- Assisting in the development and maintenance of procedures and documentation relevant to HVS operations;
- Monitoring and managing basic fatigue management, mass management and Chain of Responsibility of all Corps Group drivers;
- Monitoring and maintaining of Journey Management Plans (JMP) for all long distance travels for all CORPS drivers;
- Preparing and reconciling of Fuel Rebate on a monthly basis, management of fuel cards and issuing of FOB tags to drivers;
- Providing training and knowledge to all relevant stakeholders of current updates/changes of legislation requirements;
- Providing other ADHOC support to Transport, Operations and Workshop teams as required;
- Undertaking internal and external audits relevant to HVS Operations.
Essential Requirements:
- Two (2) to Three (3) years previous work experience in a similar role;
- Cert II Transport Services (desirable);
- Previous experience with Heavy Vehicle Accreditation (desirable);
- Demonstrated ability to exercise initiative, discretion, sound judgement, high level of professionalism and confidentiality at all times
- Robust organisational and planning skills, with the ability to manage fluctuating workloads and conflicting priorities
- Experience working proactively and innovatively in assessing issues and identifying solutions
- Be proficient in Microsoft Excel, PowerPoint and Word
- Understanding of road legislation and fatigue management regulations
