SBTA is one of the leading Registered Training Organisations (RTOs) providing Vocational Education and Training (VET) programs to International students.


The Administrative Assistant supporting the Academic Management Team plays a vital role in the efficient operation of our vocational school. This individual will provide comprehensive administrative support to the Academic Management personnel, ensuring smooth coordination of tasks and facilitating effective communication within the department and with other stakeholders. The role requires a proactive, organized, and detail-oriented individual who can manage multiple responsibilities in a fast-paced educational environment.

Key Responsibilities:

Administrative Support:

  • Provide administrative assistance to the Academic Management Team, including scheduling meetings, managing calendars, and arranging appointments.
  • Prepare and distribute documents, reports, and presentations as required by the Academic Management personnel.
  • Maintain accurate records and databases related to academic programs, student enrollment, faculty schedules, and other pertinent information.
  • Handle incoming communication, including emails, phone calls, and correspondence, and respond or redirect as appropriate.

Coordination and Communication:

  • Serve as a liaison between the Academic Management Team, faculty members, students, and other school departments, fostering effective communication and collaboration.
  • Assist in organizing and coordinating academic events, workshops, and meetings, ensuring logistical arrangements are in place.
  • Communicate important information, updates, and deadlines to relevant stakeholders in a timely manner.

Student Support:

  • Provide support to students regarding academic inquiries, program requirements, and general administrative assistance.
  • Maintain confidentiality and handle sensitive student information with discretion and professionalism.

Documentation and Recordkeeping:

  • Maintain and update academic records, including student files, course evaluations, and academic transcripts.
  • Assist in the preparation and distribution of academic policies, procedures, and program materials.
  • Ensure compliance with regulatory requirements and accreditation standards related to academic documentation and recordkeeping.

Project Assistance:

  • Support the Academic Management Team in special projects, initiatives, and research activities as assigned.
  • Assist in data collection, analysis, and reporting to support academic program assessment and improvement efforts.
  • Contribute to the development and implementation of administrative procedures and systems to enhance efficiency and effectiveness.

Qualifications and Skills:

  • Proven experience as an Administrative Assistant or similar role, preferably in an educational or academic setting.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong communication skills, both written and verbal, with the ability to interact professionally with diverse stakeholders.
  • Proficiency in office software applications, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and database management systems.
  • Attention to detail and accuracy in data entry, documentation, and recordkeeping
  • Ability to maintain confidentiality and handle sensitive information with integrity and discretion.
  • Flexibility and adaptability to work effectively in a dynamic environment with changing priorities.

Education and Experience:

  • High school diploma or equivalent required; additional education or certification in office administration or related field preferred.
  • Prior experience in administrative support roles, particularly in an academic or educational environment, is highly desirable.
  • Familiarity with vocational education programs and industry-specific terminology is a plus.
