Expressions of Interest are sought to for a reduced hours Administrative Officer, Level 4, Psychological Medicine until 31.8.24.The position is required to support health roster, recruitment process, conferences, iExpenses, minute taking and other administrative duties. See detailed position description for further information about this position.What you'll be doingThis primary purpose of this role sits within the Department of Psychological Medicine. Under the leadership of the Administration Manager, the Administrative Officer will be required to provide administrative support for Health Roster, recruitment processes and other high level administrative duties.The position requires high-level problem-solving skills, excellent interpersonal skills and organisational skills, good common sense and the ability to exercise sound judgement and logic, to use effective open communication and provide excellence in service delivery, whilst maintaining confidentiality at all times.The position requires a good working knowledge of payroll functions and recruitment processes and is responsible for entering rosters on time, updating rosters, running reports as required, collating all supporting documentation and collaborating and communicating effectively with Managers and staff in the department with regards to pay enquiries. The position will also be required to assist with a range of other administrative duties within the department as required.
  • Demonstrated working experience in Payroll and Recruitment processes with knowledge of ROB or a similar recruitment system and Health Roster or another similar Payroll system.
  • Demonstrated organisational skills and the ability to provide comprehensive administrative support including administrative functions and minute taking with excellent attention to detail and accuracy in record keeping.
  • Demonstrated efficient and effective collaboration skills combined with strong written and verbal communication skills.
  • Demonstrated experience maintaining and updating staff rosters in Health Roster or a similar rostering system within prescribed deadlines. Ability to ensure all leave entered is supported by approved documentation and ensure all roster information is communicated in the shared mailbox.
  • Ability to provide regular Health Roster reports to managers, and ad-hoc reports when requested whilst maintaining high levels of confidentiality at all times.
  • Ability to maintaining open lines of communication with direct line managers to avoid potential conflicts in relation to Health Roster timelines and deadlines and recruitment processes.
  • Capacity to function effectively and flexibly as part of a team as well as the ability to work proactively on allocated tasks with minimal supervision, within tight deadlines whilst exercising appropriate judgement in dealing with confidential and sensitive information.
