Administrative Team Co-Ordinator

  • Permanent part-time (28 hours per week)
  • Based at Maroondah Hospital, with requirement to work across Eastern Health sites
  • Opportunity for an experienced administration assistant to provide leadership to a friendly, dynamic and supportive administration team with the Allied Health Department

About the role

The Administration Team Co-ordinator is a professional worker with advanced level administrative skills who provides administration services and co-ordination within the Allied Health Hub. These services include reception and administration support to clients and clinical staff, and will include working across sites depending on service demands. The administration team co-ordinator has a key role in ensuring that clients receive a professional, friendly, efficient and courteous service when contacting or attending services connected to the Allied Health Hub, as well as supporting a small but dynamic team as of administration officers.

About you 

To be successful in this role you will possess:

  • Demonstrated experience in supervising staff  
  • Demonstrated experience in staff rostering and leave co-ordination  
  • Commitment to continuous service improvement  
  • Excellent verbal communication skills ensuring clients and staff are treated in a friendly and helpful manner  
  • Experience utilising patient management software and being able to efficiently run reports on program activity  
  • Medical terminology knowledge  
  • Health care service experience  
  • Demonstrated experience in office administration and record keeping  
  • High level of organisational abilities to ensure the successful and timely delivery of reception and telephonic services  
  • Excellent IT skills including word processing, Outlook and Excel  
  • Ability to coordinate scheduling of client appointments  
  • Excellent written skills  
  • Commitment to adhering to Eastern Health values and strategic directions including being patient centred, collaborative, and upholding confidentiality and privacy of client information  
  • Ability to develop administrative policies, processes and systems and adhere to documented administrative procedures.  
  • Ability to undertake positive conflict management strategies  
  • Ability to run, analyse and interpret data reports  
  • Excellent Interpersonal skills
