Administrator – Junior Years Campus
Full Time – 37.5 hours per week, Fixed term - 12 months

About the Role:
The Junior Years Administrator is responsible for providing effective Reception, Clerical and other support to the Head of McGregor Campus and the teaching staff, as well as First Aid and other support to all students.
This role is supported with a Receptionist three days a week.
Key Responsibilities:
Administrative Support
- Support the Head of McGregor Campus as requested including arranging meetings with staff, parents and students, sending emails or assisting with Junior Years events
- Assist Head of McGregor Campus with publications
- Ensure there is sufficient catering supplies in the JY staffroom and assist in the preparation of catering for Junior Years staff events
- Assist with preparation and formatting of Junior Years written and published documents
- Assist with the preparation of all Junior Years student reports, including formatting, checking and uploading.
- Maintain Emergency Procedures and assist in the organisation of evacuation and invacuation drills
- Conduct general administrative duties such as (distribution of mail, invoices approvals and payment, credit card reconciliation, expense/budged coding)
- Assist in solving operational issues as they arise
Reception/Admin – Approximately Two Days a Week
- Greeting visitor to Junior Years reception, ensuring they are signed in and either informing relevant staff of their arrival or directing them to appropriate locations within the College
- Answering incoming calls and transferring to the appropriate extension or taking a message
- Monitoring and appropriately responding to messages on the answering machine
- Responding to general queries from students and families
- Maintain presentation of kitchen and staff room
- Responding to request for First aid and liaising with the Health Centre
- Recording all student absentees on a daily basis and following up on all unnotified absences
- Ensure updated bus permissions and the daily reconciling of student bus lists
- Conduct minor first aid tasks when necessary
- Liaise with parents regarding illness or injury of students
Essential Knowledge and Experience:
- High level planning, organizational and time management skills with the ability to manage a diverse range of projects concurrently.
- Excellent word processing and database skills.
- Familiarity with Synergetic and/or similar relational databases. (Desirable)
- Ability to use appropriate ICT resources to facilitate administrative tasks.
- Excellent interpersonal skills in communication, personal presentation, professionalism, honesty, warmth and empathy
- Experience working in an all girl’s school
- Qualifications which further support the work of the College
Selection Criteria:
- Hold a current certificate for training in Responding to Abuse and Neglect – Education and Care
- Hold a current Senior First Aid certificate
- Hold a Working With Children Check
