Clayton Utz Training Program (CUTP)
Clayton Utz is the only Australian law firm which offers a structured client training program. The CUTP team is responsible for marketing and event managing over 120 workshops throughout Australia each year. The team supports a number of practice groups to deliver workshops on topics such as negotiation skills, government law, contract law, workplace relations law, energy and resources law and environment and planning law.
The role
We have an exciting new opportunity in our CUTP team within the Brisbane Commercial Litigation practice This position will ideally suit an experienced administrator with strong client service skills. Study or interest in event management and/or marketing is desirable. We are seeking a candidate who thrives in customer service-based roles, prides themselves in delivering a remarkable client experience and enjoys event coordination.
Key responsibilities
This varied and exciting role will see you deliver a high level of service to our Brisbane practice groups. The role will have a variety of daily responsibilities, including but not limited to:
- Client service - respond to a constant flow of phone and email inquiries and conduct workshop meet and greet
- Registration management - process registrations and provide all subsequent client service including organising dietary requirements, transfers, cancellations and date changes
- Manage workshop attendee lists - enter participant details and record fees
- Manage accounts - invoicing, process payments, debtor tracking, refunds, monthly billing and end of month reconciling
- Reporting - produce billing and revenue reports, attendee list reports and database reports
- Client engagement - capture client interest and conduct weekly marketing activities
- Database managment - data entry, manage mailing list folders and event folders, and populate annual training program mailing lists
- Event management - room bookings, organisation of training materials, printing and room set up and pack down
- General administrative assistance to the Training Program Coordinator
Skills & Experience
To be successful in this role, you will have:
- Minimum 2-3 years' experience in a similar role
- Outstanding client service skills via phone, email and face-to-face
- Ability to work in a small, fast-paced team environment
- Effective written and oral communication skills
- Strong numeracy skills and high level accuracy and attention to detail
- Highly organised with the ability to plan, prioritise and complete tasks within allotted timeframes
- Demonstrated use of initiative and a strong sense of responsibility
- Strong computer skills including Microsoft Outlook, Word and Excel
- Willingness to be flexible as early starts are required on days where workshops are held in the office.
- Experience in billing processing using Aderant software is desirable
