This is a 12 Month Fixed Term Contract (FTC) position based in Melbourne.

About the Team & the Position

As a business unit of the Digital division, the Portfolio Delivery department, manages programs and projects to deliver aligned strategic priorities and digital capabilities across AEMO. The Portfolio Delivery department requires PDO operational support and services for programs and projects within Portfolio Delivery. The Portfolio Delivery department has a strong focus on the continuous improvement of portfolios and project delivery processes and tools and requires support to ensure efficient and effective delivery, in adherence to the methodologies, frameworks, and policies defined by Delivery Services, EPO, Finance, Procurement and People & Culture.

The Portfolio Analyst will support the delivery of projects run by the Portfolio Delivery across Digital. The portfolio Analyst will assist the Project/Program Managers and Portfolio Managers with elements of the administration of their projects/portfolios and to provide governance and controls support, working across a broad range of internal and external stakeholders, custodian, vendors, and regulators.

Position Responsibilities

  • Collect, consolidate, and analyse program and project data, including financial and performance metrics, to support effective decision making by setting up regular meetings to run through reporting.
  • Identify potential gaps or obstacles that may compromise the success of projects, trouble shoot and present appropriate strategies to overcome these obstacles.
  • Assist in Program and Project benefits management and reporting, including coordination of workshops and support in the definition of benefit KPIs and metrics to ensure high standards are met.
  • Providing ad-hoc support to the PDM, projects and Program Management team, and prepare or contribute to ad-hoc project and portfolio reports.
  • Managing project reporting and governance administration, ensuring high-quality project data is gathered and maintained, reports are relevant, received on-time, insights are highlighted, and feedback is provided to Project Managers where required.
  • Performing project quality assurance activities (e.g. status, commencement, stage gate and closure reviews) to assist with verifying compliance to project delivery frameworks, ensuring adherence to standard practices & project deliverables is maintained.
  • Maintaining PDO/ePO Frameworks and related Artefacts, including management of continuous improvement activities Providing first level support to Project Managers on processes and tools.
  • Planning and facilitating project delivery framework training to new Project Managers by setting up training sessions for new starters.
  • Maintaining Portfolio and PDO registers and related information (e.g. risks, dependencies, benefits, key metrics), including collation, review and follow up of actions to resolution.

Position Requirements

Skills & Experience:

  • Good experience in managing small to large projects, preferably across a range of industries including within the energy industry.

  • Knowledge of the energy industry, including gas and electricity markets, key participants, and regulations.
  • Business acumen and understanding of commercial drivers and issues for a medium sized organisation.
  • Demonstrated knowledge of project management methodologies
  • Proven knowledge of project financial management Demonstrated understanding of business systems and business processes and their inter-relationships.
  • Proven ability using appropriate analysis tools and principles Advanced Excel skills.    

Education/ professional Certifications:

  • Tertiary qualification in an appropriate discipline (Business or Information Technology) is highly desirable.
