APS 5 Program Officer

  • $55 / Hourly / Ex Super
  • Canberra, ACT
  • 6-month contract (possible extension)
About the role
The Research Programs and Services Branch administer grants for the agency Discovery and Linkage Programs, as well as delivering programs on behalf of other Commonwealth agencies.  Our work spans the entire grants lifecycle, from program design and application management, to overseeing competitive selection processes and management of grant agreements. Program Officers manage and work as part of small teams, responsible for planning and implementing various aspects of grants programs. These roles combine project management, stakeholder engagement, risk management, communication, administration skills. Program Officers undertake grants administration using the agency Research Management System (RMS) and other related systems.
 
Duties
  • Support and manage grant administration tasks with accuracy and attention to detail.
  • Manage multiple tasks within set timeframes using effective time management and priority setting skills.
  • Interpret and consistently apply policy, procedures, guidelines and legislation.
  • Be aware of and navigate situations involving complexity and sensitivity.
  • Work flexibly across teams to provide support across the Research Programs and Services Branch as required.
  • Provide clear, accurate and timely advice to research sector and other external stakeholders, enquiries including sensitive handling of complaints and appeals.
  • Foster collaboration and manage professional relationships with internal and external stakeholders, including customer centric approach.
  • Supervise and mentor employees by providing regular feedback and supporting the continual development of employee capability.
  • Use the agency Research Management System (RMS) and other internal systems and software to manage tasks.
  • Prepare and review documents, reports, policy briefings and other correspondence.
  • Monitor budgets and ensure accurate tracking of spending and financial information.
  • Present data and information to provide compelling, accurate, evidence-based reporting.
  • Propose and facilitate innovation initiatives and contribute to business improvement strategies and to change in workplace practices.
  • Support planning and development activities for the branch, aligning to the agency strategic objectives.
  • Contribute to team building and workplace culture, supporting diversity and inclusion.
  • Undertake other duties such as, project management and secretariat support, as required.
Required Skills and Knowledge
  • Display sound judgement, strong attention to detail and an ability to manage multiple priorities and respond flexibly in a changing work environment.
  • Demonstrated experience managing projects and/or programs including time management and organisational skills; and the ability to meet tight deadlines and remain calm under pressure.
  • Excellent interpersonal skills with the ability to engage high-level stakeholders, build collaborative relationships and manage staff.
  • Strong IT skills, particularly in word processing, spreadsheets and databases, and the ability to learn ICT systems and support colleagues in their use.
  • High level of oral and written communication skills, effectively sharing clear and accurate information.
  • Ability to think strategically and identify opportunities for innovation and business improvement.
  • Previous qualifications and/or experience related to program and/or project management would be desired but not essential
