OVERVIEW
Our Federal Government client is currently seeking several experienced Program Officer to join their team at the APS5 level. Within this role you will play a critical role to the Department’s success and provide administrative support within the lifecycles of grants.
YOUR RESPONSIBILITIES
Delivering quality outcomes
- Support and manage grant administration tasks with accuracy and attention to detail.
- Manage multiple tasks within set timeframes using effective time management and priority setting skills.
- Interpret and consistently apply policy, procedures, guidelines, and legislation.
- Be aware of and navigate situations involving complexity and sensitivity.
- Work flexibly across teams to provide support across the Programs Branch as required.
- Provide clear, accurate and timely advice to research sector and other external stakeholders, enquiries including sensitive handling of complaints and appeals.
- Foster collaboration and manage professional relationships with internal and external stakeholders, including customer centric approach.
- Supervise and mentor employees by providing regular feedback and supporting the continual development of employee capability.
- Use the Research Management System (RMS) and other internal systems and software to manage tasks.
- Prepare and review documents, reports, policy briefings and other correspondence.
- Monitor budgets and ensure accurate tracking of spending and financial information.
- Present data and information to provide compelling, accurate, evidence-based reporting.
- Propose and facilitate innovation initiatives and contribute to business improvement strategies and to change in workplace practices.
- Support planning and development activities for the branch, aligning to the strategic objectives.
- Contribute to team building and workplace culture, supporting diversity and inclusion.
- Undertake other duties such as, project management and secretariat support, as required.
EXPERIENCE / REQUIREMENTS
- Display sound judgement, strong attention to detail and an ability to manage multiple priorities and respond flexibly in a changing work environment.
- Demonstrated experience managing projects and/or programs including time management and organisational skills; and the ability to meet tight deadlines and remain calm under pressure.
- Excellent interpersonal skills with the ability to engage high-level stakeholders, build collaborative relationships and manage staff.
- Strong IT skills, particularly in word processing, spreadsheets and databases, and the ability to learn ICT systems and support colleagues in their use.
- High level of oral and written communication skills, effectively sharing clear and accurate information.
- Ability to think strategically and identify opportunities for innovation and business improvement.
- Ability to quickly gain an understanding of the department’s role in the research landscape, its programs, and strategic objectives.
- Grant administration experience is welcome but not essential. Candidates with professional experience in university/ research administration, procurement, contract management, program management, executive support, office management, banking or other administrative roles are encouraged to apply.
