Job description

Assistant to Accounting and Administration Section

(Full-time, 13-month contract position)
 
The Embassy of Japan in Australia is seeking a well-organised and responsible person for the role of Assistant to Accounting and Administration Section.


1 Duties may include, but are not limited to: 

-Providing administrative support to diplomats at the commencement/completion and throughout their postings in Canberra, such as leasing of housing/accommodation, purchasing/selling/registering vehicles, acquiring a driver’s license, importing shipments, etc.

-Providing administrative support to the Embassy chef and residence staff (following up orders, checking invoices, processing payments, arranging pickup/delivery, internet/PC troubleshooting, liaising with companies and contractors as necessary)

-Assisting with locally engaged staff administration, such as overtime claims and attendance management, checking leave balances, OH&S and Workers’ Compensation claims

- Liaising with people at various levels in both the public and private sectors

-Contacting Australian government departments and customs brokers to import diplomatic cargo

-Assisting Accounting and Administration Section staff as required, including accounts payable, claiming GST refunds, translating documents into Japanese and/or English, doing research, making enquiries, filing, etc.

-Answering phone calls and managing emails, etc.

-Checking supply levels and making orders

-Liaising with telecommunications providers regarding contract renewals, software updates, and any repairs as required.


2 Requirements for this position include: 

-Strong knowledge of Canberra   

-Excellent verbal and written communication skills in both Japanese (business level) and English (native or highly proficient level)

-Comprehensive IT skills (Microsoft Office, Microsoft 365, Excel, PowerPoint) and ability to quickly adapt to new software and different types of administrative systems

-Accounting software skills (MYOB, etc.) are desirable

-Highly organised, motivated and flexible approach to assigned duties

-Ability to multitask, work under pressure, and prioritise tasks to meet deadlines

-Ability to work independently with minimal supervision

-Demonstrated capacity to promote organisational outcomes, and work effectively in a team environment

NOTES:
The position is a temporary contract position from 22 April 2024 for 13 months.
A salary will be calculated commensurate with experience and based on the salary scale of the Embassy.
