About the role
We are seeking a Bid Coordinator to join our Tender Team in Adelaide, on full-time bases.
Reporting to the Bid Manager, this role assists with developing bid responses for tenders, proposals, and expression of interests, to current and potential clients to support ServiceFM’s business growth.
Key responsibilities include:
- Collaborating with subject-matter experts to gather technical information and translate complex concepts into clear, concise, professional and easily understandable language. Ensuring bid responses reflect the brand, market position, and capabilities of ServiceFM.
- Delivering completed written response submissions in a professional, clear and articulate manner.
- Reviewing tender portals to support the identification of opportunities for ServiceFM.
- Following ServiceFM’s Bid/No Bid process, assess all bid requests from tender portals, clients and other external parties, for suitability, viability and sustainability in accordance with the company’s business objectives.
- Supporting the Tender Writer Manager, ensuring all key deliverables are on track and can be submitted on time.
- Ensuring all written and visual aspects of response documents represent ServiceFM’s brand and professionalism.
- As necessary, prepare responses to all post tender clarifications and presentations, liaising with ServiceFM key stakeholders.
- In conjunction with the Tender Writer Manager, support and seek input for the ongoing development and maintenance of ServiceFM’s tender response content library.
- Assisting in the maintenance and development of various company templates including quotes, forms, reports etc. to ensure they meet industry/sector standards and are contemporary in nature.
- Providing bid and communications support to ServiceFM’s capacity partner Ganbara Facility Services.
- Attending external information sessions and forums, as approved, to obtain industry learnings and networking.
- Working in consultation with ServiceFM’s Marketing team to develop case studies, social media promotions and other external-facing documents.
- Attend and participate in all sales meetings as required.
- Other duties as instructed by the Executive Director.
- Establish and maintain a central repository of bid-related documents, templates, and past responses for future reference and knowledge sharing.
To be successful in the role
You will need to have demonstrated experience in the coordination of tender submissions and be proficient in using InDesign and Word. You will need to have excellent communication skills, both verbal and written, and you will pride yourself on having a high level of attention to detail.
You will also:
- Be passionate about writing.
- Have at least 4 years of experience in tender or bid writing.
- You will have the ability to work both autonomously and effectively as part of a team.
- You will have the ability to prioritise workload and work under pressure to meet pressing and multiple deadlines.
- You will have outstanding verbal and written communication skills.
- A Positive, flexible, motivated and approachable personality.
- Proficiency in Microsoft Office (Word, Publisher, PowerPoint, Excel).
