Role Description
The Bid Coordinator plays a crucial role in the success of our business development efforts by overseeing the preparation, submission, and tracking of bids and proposals for projects in Australia and the Pacific. The successful candidate will collaborate closely with our multidisciplinary teams, including Engineers, Architects, and Project Managers, to ensure that bids are accurately prepared, compliant with client requirements and submitted within deadlines.

Role Responsibilities
1. Bid Preparation:
- Collaborate with project teams to understand client requirements, project scope, and objectives
- Coordinate the gathering of necessary information, including technical specifications, fee estimates and project timelines
- Prepare proposals of a professional quality which are graphically appealing
- Write, edit and format bid documents, ensuring clarity, coherence and compliance with client guidelines
- Develop compelling value propositions and narratives that highlight the company's strengths and capabilities
2. Bid Submission:
- Assist in managing the bid submission process, including compiling all required documents and forms
- Ensure timely submission of bids through online portals, email, or other designated channels
- Coordinate with internal stakeholders to obtain necessary approvals and sign-offs prior to submission
3. Bid Tracking and Analysis:
- Assist in maintaining a centralised database of all bids and proposals, including tracking their status and outcomes
- Assist with regular reports and updates on bid activity to management
To be successful in this role you will have:
- Advanced time management skills supporting your ability to meet tight deadlines and contribute to multiple submissions concurrently
- High attention to detail with excellent English language proficiency and editing and proofing ability
- Strong communication and interpersonal skills, including experience working in a diverse team
- A proactive attitude and ability to, at times, progress work with minimal supervision
- Experience in writing construction and engineering submissions for expressions of interest, RFT, RFP submissions, non-price components of tender submissions and work methodologies preferred
- Tertiary degree (Bachelor or above) e.g. Engineering, Architecture, Journalism, Publishing, Media & Communications or Marketing preferred
- Proficient with Microsoft Office Suite and Adobe Indesign (or willingness to learn)
