Bilingual Receptionist (Psychology Clinic)

Sprout Psychology Melbourne is looking for a Bilingual Receptionist to look after our front desk.

This is a Casual role with the potential to become permanent.

• The candidate must speak fluent Mandarin and Cantonese, with exceptional English language skills. 

This candidate must possess excellent communication skills, interpersonal skills, dedication to improve processes, and take initiatives. The candidate will ideally be a fast learner and team player, who has a potent ability to liaise with clients, stakeholders, referrers, and has highly competent organization skills.

Responsibilities

• Coordinate clinician's calendars  (e.g., Room Utilisation rate, Convert enquiries to bookings).
• Take enquiries, complete bookings, schedule future bookings
• Deal with cancellations and rescheduling in a professional manner
• Follow clear protocols and procedures set by the company
• Invoice and collect payment
• Provide exceptional client experience such as greeting clients upon arrival and departure
• Ensure the clinic is neat, clean and comfortable for clients
• Ensure files are uploaded and organized aligned with company procedures
• Familiar with and supporting daily housekeeping such as, auditing test library, inventory, outstanding accounts, regularly checking outstanding invoices
• Manage referrals, scanning, attend to any missed calls and documents that is left at the reception
• Complete clear handover notes and communicate with team members
• Communicate with clinicians regularly to ensure they are supported
• Attend team meetings, take minutes, support the managers and clinic director

Qualifications

• Customer service or administrative experience
• Proficient in Microsoft Office, Google Drive

Language Proficiency

• English
• Mandarin AND Cantonese
