Responsibilities:
1. Procurement Coordination:
- Initiate and maintain communication with suppliers to send purchase orders.
- Facilitate phone calls with suppliers (English) and on-site foreman (Mandarin) for seamless coordination.
2. Data Management:
- Conduct precise data entry and record-keeping using Microsoft Excel.
- Ensure accurate and up-to-date tracking of procurement transactions.
3. Communication:
- Draft professional emails for the creation of new purchase orders, ensuring clarity and accuracy.
- Generate and send follow-up emails to suppliers for order status updates.
- Compose emails to request item quotations, providing necessary details.
4. Multilingual Communication:
- Conduct phone conversations in English with suppliers and in Mandarin with on-site foremen, demonstrating effective language skills.
5. Ad-hoc Duties:
- Undertake miscellaneous tasks assigned by team members, such as printing documents and accepting stock deliveries at the office.
Qualifications:
- Proven experience in bookkeeping and procurement is desirable but not limited to.
- Strong proficiency in Microsoft Excel is a MUST.
- Excellent verbal and written communication skills in English and Mandarin is a MUST.
- Detail-oriented with a focus on accuracy in data entry.
- Ability to handle ad-hoc duties efficiently.
- Familiarity with procurement processes and supplier relations.
