You could be one of our 2700 committed team members who are up to the challenge.About the roleAs the Business Support Coordinator, you are integral to the success of V/Line’s Asset Management & Performance division.Reporting to the Manager – Business Operations and Change, you will provide a wide range of professional coordination and administration support services to enable effective delivery of Asset Management & Performance operations.Key accountabilities include:
  • Providing seamless calendar management to the Director-Asset Management & Performance.
  • Providing fast and effective business administration support to the Manager-Business Operations & Change and the broader leadership team within the division.
  • Liaising with the finance partner to ensure required information is accurate and timely in preparation for the monthly financial reporting and attend the monthly meeting to ensure the budget is on track.
  • Providing Business Unit Administration (specific training provided) to ensure completion of tasks related to reporting and management of contractors and consultants.
  • Managing the Integrated Management System (IMS) documents to prevent overdue controlled documents, support change requests, ensure timely approvals, identify document status, and provide reports.
  • Managing project meetings and team events, handling venue bookings, calendar scheduling, travel arrangements, catering, drafting agendas, minute-taking, and assigning and tracking actions.

  • Certification, Diploma, or Degree in Business, Finance, Administration, or similar field.
  • Advanced skill in MS Office365 applications – SharePoint, Word, Excel, PowerPoint, Teams, Planner.
  • Advanced communicator with an ability to build strong relationships with stakeholders at all levels.
  • Experience in business coordination and administration including budget tracking, document control, and multiple forms of reporting.
  • Experience in purchase order creation, maintenance, invoice receipting, spend tracking, and procurement processes, including contractor on/off-boarding and timesheet administration.
  • Experience in planning and management of team events, workshops, and meetings, including support for minute taking, actions and follow up.
  • Strong attention to detail and meticulously organised to work at a fast pace and maintain high-quality deliverables.
