Our Financial Planning practice provides bespoke advice to our clients that supports them in achieving their personal or business objectives, while our Accounting practice delivers exceptional finance and tax advice and services to individuals and businesses.

Purpose of the role

The Client Service Manager is newly created role as we are in a high growth phase and require an experienced, mature manager to lead our Client Service team. 

The role is responsible for the delivery of high quality, proactive and compliant Client Service support, through professional administration delivery and excellent customer service. The Client Service Manager will adhere to all professional standards, compliance requirements and risk mitigation throughout the process of delivering quality advice for our clients. 

The core function of the Client Service Manager is to work alongside our Adviser team to create a seamless, personalised, end to end service offering for medium to high net wealth clients. This includes mentoring and managing junior team members; coordinating, implementing and scheduling client activity; and ensuring the Adviser is always fully prepared for all client engagements. 

Key responsibilities and tasks

Client Service Manager tasks, including:

  • Developing and maintaining strong relationships with clients, responding to client queries and ensuring all tasks are complete
  • Preparing and maintaining client records, correspondence and files ensuring they meet both our firm’s and the licensee standards
  • Responsible for data integrity in XPlan, including managing client information and investment portfolios to ensure they are always accurate and up to date
  • Implementing advice recommendations for clients including the creation and data accuracy of applications, managing through to completion
  • Supporting the Managing Director and Advisers in the timely preparation of client reviews, including data collection, data accuracy and diary management 
  • Mentoring and guiding junior team members in the delivery of outstanding Client Service
  • Coordinating and completing regular reporting for clients that keeps them informed of their portfolio movements
  • Liaising with service providers on a regular basis to obtain the right outcome for the client
  • Ensuring that retains the privacy of all client information.

General duties, including:

  • Creating efficiencies for our team by helping to drive technology use and identify opportunities for productivity improvements to systems and procedures
  • Being a technical expert across products and processes, including use of XPlan, and provide technical support to other team members as needed
  • Scheduling meetings, preparing the meeting room, ensuring all relevant documentation is ready and taking minutes as required
  • Actively working to create a great team environment by being positive and proactive as well as openly sharing knowledge and best practice ideas with the team.

Your experience

  • Minimum 5 years of experience in a similar role within Financial Planning or Portfolio Management
  • A natural leader with team management experience
  • Excellent interpersonal and communication skills with internal and external stakeholders
  • Excellent knowledge of the Financial Planning process and legislative requirements
  • Excellent working knowledge of XPlan
  • Strong attention to detail 
  • Good problem solving and analytical skills, with the ability to prioritise work and manage own time
  • Experience and desire to work in a small team environment
  • Australian Citizenship or Permanent Residency
