Client service officer
We are a progressive and rapidly growing practice, working largely paperless and online, and bringing flexibility into the Financial Planning experience for our clients.
We are seeking an experienced Client Services Officer who has worked in the financial planning industry. You will join a small team to manage workflow, processes and provide exceptional service to our clients and our team with a professional, can do attitude. This is a boutique financial services firm who provide specialist Financial advice, Lending, Accounting & Property services, we pride ourselves on delivering a high level of service to all our clients.
The Role
As a valued team member, you will manage the day-to-day workflow for clients and advisers. Your focus will be on monitoring workflow within the Client services team while maintaining focus on outstanding service & integrity.
Some of the duties of the roles will include but may vary:
- Establish strong relationships that allow you to provide excellent service to our clients, advisers and team members
- Contribute to maintaining our high compliance standards and the successful growth of our business
- Customer service all inbound & outbound calls
- Appointment booking for advisers
- Manage client files and administrative functions with workflow co-ordination
- Implement directions efficiently and accurately
- Ensure client files are complete and compliant with legislation and licensee standards
- Managing and prioritizing tasks and reporting back to the practice Practice manager and Principal
- Lodgement of adhoc forms and applications.
- Handling client queries and directing them accordingly
- Database and workflow management in XPLAN & Worksorted
- Updating Excel database and practice CRMs
- Meet and greet clients
- Other implementation and administration duties
- Responding to client queries in a timely and professional manner
- Liaising with insurance firms, super funds and platforms
Strong computer skills will be required and experience in a financial services firm would be an advantage, but not required . Ideally, you will be or have recently worked within a customer service role in the Finance and accounting industy and have demonstrated superior Client service, the ability to seek creative solutions, persistence to focus on the end goal, and always diligent about your role within a team.
To be considered for this role you need to possess the following attributes:
- At least 1 to 3 years' experience in the Customer service/Administration duties preferably in a financial services company.
- Have experience in Implementation of SOAs
- Full time availability
- Proficient in Microsoft Office suite – in particular, Advanced Excel skills
- Excellent attention to detail and problem-solving skills
- Excellent communication and people skills
- Strong organizational and administrative skills
- Be willing to learn, keep up-to-date with industry changes and share knowledge
- Advanced knowledge of any paraplanning software, including ability to collate and maintain technical information in relation to strategies and projections
- Understanding of SoA structures, document templates and relevant technical information required to meet regulatory standards
- Client focused and enjoy working within a team environment
- Ablity to work in a high paced environment
