The Role

Are you ready to take on a multifaceted role as a Clinic Coordinator or Clinic Manager in our brand-new Leongatha location? You’ll be at the forefront, managing everything from reception duties to appointment scheduling, ensuring seamless operations, and maintaining meticulous documentation. Your responsibilities will extend to liaising with suppliers, collaborating with marketing teams, and conducting meetings to discuss innovative ideas supported by thorough research. Keeping abreast of social media trends and technological advancements will be integral, ensuring our team remains focused and productive.

In this dynamic position, your ability to prioritize client needs, think swiftly on your feet, and adeptly solve problems will be crucial. Operating with initiative and efficiency, you'll drive results and foster the clinic's growth while maintaining optimal productivity. Anticipate challenges as you navigate client inquiries, handle diverse situations, and make decisions in real-time. Previous experience demonstrating your capacity to deliver results is imperative, and rest assured, continuous training and support will be provided to facilitate your success.

This role requires a positive attitude, kindness, and a friendly demeanor. Experience within the cosmetics or dental industry is essential to effectively collaborate with our team.  

The duties and responsibilities include (but are not limited to):

  • To uphold the vision of the business set by Dr. Dean Kim the CEO
  • Reception and clinic management
  • Oversee day-to-day clinic operations, ensuring seamless workflow and adherence to established protocols.
  • Monitor inventory levels and coordinate with suppliers to ensure timely replenishment of clinic supplies and equipment.
  • Implement and enforce health and safety protocols to ensure the well-being of both clients and staff.
  • Liaise with internal teams, including practitioners, nurses, and administrative staff, to facilitate effective communication and teamwork.
  • Prioritize client satisfaction, addressing inquiries, concerns, and feedback in a timely and empathetic manner.
  • Be actively involved in continuing education and professional development
  • Set goals and targets for the clinic team, providing regular feedback and performance reviews to drive accountability and productivity.
  • Demonstrate leadership and initiative in achieving results, both individually and as part of a collaborative team effort.

About you & Requirements:

  • Prior experience managing clinic operations, including reception duties, appointment scheduling, and client relations is essential.
  • A relevant qualification in beauty,  business administration, healthcare management, or a related field is desirable but not essential.
  • Proficiency in computer applications and software relevant to clinic management, including scheduling systems, CRM software, and Microsoft Office suite.
  • Strong communication skills, both verbal and written, with the ability to interact confidently with clients, colleagues, and suppliers.
  • Demonstrated experience in a similar role within the cosmetics or dental industry, with a proven track record of success.
  • Critical thinking skills with the ability to lead a team 
  • Provide exceptional patient care and be results driven
