The Position
The Administration Officer role is a full-time position based at our Pelican Waters office. This position plays a pivotal role in ensuring the smooth & efficient operation of day-to-day business. Reporting to the Director and working closely with the Site Supervisor, you will be responsible for providing administration support to the team, liaising with clients directly during both the preliminary requirements of their build & whilst on-site, managing office procedures & maintaining accounting matters.
Your responsibilities
- Manage administrative tasks, including but not limited to phone calls, scheduling appointments, managing emails, and organising meetings
- Maintaining client database
- Liaising with suppliers and gaining build specific quotes
- Responsible for clients’ colour selection process including in-person meetings and specification documents.
- Handle Master Builder Contracts, Covenant Applications & Council Applications.
- Manage the online client portal with fortnightly updates during building process.
- Support some of the accounting requirements including processing supplier invoices, reconciling incoming transactions & client payments.
The successful candidate will have
- Experience in residential construction.
- Comprehensive knowledge of the residential build process
- Excellent communication and customer service skills
- Strong computer skills
- Understanding of Xero & Buildxact preferred but not required
