The Role

Reporting directly to the Head of Executive and Civic Services, the Coordinator Civic Support performs the key role of supervising the functions of the Civic Support team, providing executive and civic support to the City of Ballarat Mayor and Councillors. As the Coordinator Civic Support, you will provide demonstrated leadership to the team across all facets of support including diary and event management, provision of strategic and advisory support, the coordination and delivery of civic events and citizenship ceremonies and coordination of communications across the organisation and externally on behalf of the office of the City of Ballarat Mayor and Councillors.

This position has an annualised salary range from $106,661 to $118,112 per annum plus statutory superannuation.

About You

To be considered for this exciting opportunity, the City of Ballarat is seeking an experienced professional with demonstrated discretion throughout an extensive track record in the provision of executive and advisory support. The successful applicant will demonstrate sound experience in managing and leading a multidisciplined team, coupled with exceptional stakeholder relations skills including the ability to manage complex stakeholder enquiries. Previous experience within a political environment with a detailed understanding of local, state and federal government context will be highly regarded.

Key Selection Criteria

Qualifications in business, administration or related discipline coupled with some relevant practical application within industry.
Proven staff management and leadership experience.
Demonstrated experience in the provision of executive assistance and office coordination within a confidential and politically sensitive environment.
Highly developed organisational skills with the capacity to coordinate tasks, determine priorities, monitor workflows and operate effectively as a member of a team in a fast paced, and at times political, environment.
Highly developed interpersonal and communication skills, written and oral, and proven ability to liaise and communicate effectively, and to obtain cooperation from management, staff, and stakeholders.
Previous experience in a local, state or federal government setting.
Experience in providing quality assurance for a range of formal communications including correspondence, briefings, speeches, and reports.
Politically astute.
Financial Management experience including preparing budgets and monitoring activity within budget parameters.
