Position overview

PIA is seeking an enthusiastic and motivated Event and Marketing Coordinator to help promote our events and programs in NSW and ACT. 

You will be someone organised and passionate about delivering events with a broad toolkit of marketing and content skills, as you will have a key role in shaping our messaging and creating compelling and engaging content. 

The PIA NSW and ACT divisions deliver a range of events to its members, including but not limited to, online and in-person courses, briefings, and webinar sessions, small to large social functions, annual Awards and State Conference.

What you’ll be doing 

Events / PIA Programs

  • Assisting the Event Manager in planning and delivering events.
  • Running online and in person events as part of PIA Program including working with presenters and venues to coordinate the event end-to-end.
  • Reporting on events attendance, maintaining budget and managing debts, managing event registrations and providing general customer service. 
  • Running the ACT and NSW Mentoring program to members.

Marketing

  • Collaborate with the Event Manager to come up and deliver a marketing plan to promote for NSW and ACT events.
  • Assist in the development and execution of marketing strategies and campaigns for events and PIA program.
  • Collaborate with the State Manager to profile and promote the role of Planners in the Built Environment through communications channels.
  • Coordinate and shape content for PIA’s direct marketing communications to members – a monthly e-newsletter and regular members’ communications.
  • Contribute to the creation of marketing collateral, such as brochures and presentations.
  • Collaborate across the organisation to achieve consistent messaging and brand representation.
  • Monitor and report on performance using relevant metrics.

Content creation

  • Edit and proofread content to maintain high-quality standards and consistent messaging.
  • Develop creative and visual elements, such as images and videos, to enhance content effectiveness, for PIA NSW and ACT events. 
  • Collaborate with subject matter experts and members to ensure accuracy and relevance of content.

Social media management

  • Coordinate PIA's social media accounts and develop content calendars.
  • Work with NSW and ACT networks to maximise our social media impact. 
  • Create engaging social media posts to promote NSW and ACT PIA events, initiatives, and advocacy priorities (platforms: LinkedIn, Instagram, Facebook, Twitter, TikTok)

Website management / General Admin Tasks:

  • Update and maintain the PIA NSW and ACT webpages with accurate and engaging content.
  • Optimise website content for user experience.
  • Shared inbox management.
  • Shared phone lines management.
  • Weekly reporting as required
  • Responding to members’ queries on email and over the phone as well as managing database.
     

Who we’re looking for:

Someone who is efficient, energetic, focused, detail-oriented, creative, and wants to make a difference. A motivated individual ready to join a small and passionate team to play your part in promoting the planning profession through PIA NSW and ACT programs. 

Ideally, you’ll have most of the following:

  • Bachelor's degree in events, marketing, communications, journalism, or a related field.
  • Proven experience in content creation, preferably in an entry marketing or communications role.
  • Strong writing and editing skills, with the ability to adapt content for different platforms and audiences.
  • Proficient in social media management.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with team members and stakeholders.
  • Ability to work autonomously and to show initiative as well as the ability to collaborate efficiently.
  • Familiarity with content management systems (CMS) and website platforms. 
  • Experience in ASI – Association membership database – desirable but not essential.
  • Strong attention to detail and ability to manage multiple projects simultaneously.
  • Experience in the planning or urban development industry (desirable but not essential).
  • Experience with various editing programs such as Canva, video editors for social media.
  • Proficient in shared inbox management (Outlook), Word, Mail merge, Excel.

Planning Institute of Australia 

The Planning Institute of Australia (PIA) is the national not-for-profit body representing planning and the planning profession. We represent over 1,750 members in NSW and ACT, planners in private, public and academic sectors. The team at PIA work together planning and delivering events, education programs, as well as coordinating policy and advocacy campaigns to the benefit of our members, doing our part to profile their crucial role in creating great sustainable places that communities of today and tomorrow love to live in. 

Our mission is to inspire planners and elevate their role in shaping Australia’s future. We do this through championing the value of planning, leading the profession, strong advocacy, and contemporary education. 

Our mighty team in collaboration with our executive members deliver around 70 webinars, courses, information sessions, Government briefings a year, both online and in person, as well as an annual State Conference attracting about 200 attendees, as well as celebratory Awards nights attended by close to 250 guests. 

PIA has around 30 staff nationwide, 5 staff in NSW and ACT, and we connect with more than 10,000 planning professionals annually.
