JOB DESCRIPTION
The Executive Administrator (EA) is a key role in the property, collaborating widely across the property and Federal Group Tourism (FGT). Operational activities strongly influence day to day activities, and add to the diversity of work. Overall priorities and projects are largely guided by the General Manager. With a broad view of property activity and people, the EA is a first point of contact for many general enquiries. This role is integral to support the General Manager overseeing this dynamic property. You’ll work closely with the General Manager along with other members of the leadership team to achieve the overall business objectives.
Key responsibilities of the EA will vary depending on a number of factors including the property, occupancy levels, business initiatives and time of year. Below are examples of typical responsibilities for the position:
Liaise with the General Manager, Heads of Departments and Tourism Support teams to assist with, and coordinate communications, initiatives and identification of potential issues.
Provide administrative support to facilitate the efficient and effective operation of the property.
Monitor a range of financial data and prepare associated reports providing timely budgetary information to the GM about KPOs and KPIs across the property.
Support recruitment, induction and onboarding of new employees, contributing to a positive candidate experience.
Coordinate and manage project work assigned by the GM, to ensure the successful completion and outcome to timelines and budget expectations.
Administer records for statutory compliance, examples of which might include documentation of qualifications, licensing and training records (such as Responsible Service of Alcohol or Chemical Handling training).
At Saffire, the EA also manages all aspects of staff accommodation.
This is not an exhaustive list; you may also be required to perform other reasonable duties assigned by your Manager.
The role requires:
professionalism, judgement, discretion and the ability to maintain confidentiality,
building and maintaining strong professional relationships,
the ability to work as part of a team and independently,
effective and sensitive communication at all levels, both internally and externally, and
the ability to balance conflicting priorities and work to deadlines.
If you are looking for a new challenge and take joy in supporting a diverse range of functions with a bird’s eye view of an organisation that celebrates Tasmania and takes pride in creating lifelong memories, this opportunity might just be for you!
