POSITION SUMMARY & ABOUT YOU
Certa Therapeutics team is expanding. We are seeking a dynamic and experienced Executive Assistant (EA) to help us drive our commitment to our science and patients. We require an EA who will provide administrative and executive support to the CEO and the Executive Team. In the role of EA, you will be an exceptional multi-tasker, with the ability to prioritise tasks and possess a collaborative mind-set to interact with multiple internal and external stakeholders. You will perform a broad range of administrative and office management duties which may be routine to complex in nature. From time to time, you may be assigned with special projects that support the executive business functions, which may require working independently and without supervision.
KEY ACCOUNTABILITIES
EA and Administrative duties:
- Coordinate meetings for the CEO and Executive Team; including organising team meetings, strategy meetings, board meetings, project meetings and social functions.
- Oversee travel for the CEO and Executive Team; including travel bookings, itineraries, accommodation, conference registration and other related matters.
- Facilitate the preparation and compilation of company governance documentation, including research and contract agreements, stakeholder documentation and project reporting.
- Oversee document management systems.
- Provide assistance in relation to credit card transactions and reconciliation.
- Prepare and finalise corporate documents, including agendas, minutes of meetings, presentations, itineraries, reports and correspondence including emails and letters.
- Support the maintenance of websites and implementation of media strategies, including corporate collateral
- Coordinate IT services and requirements.
KEY COMPETENCIES
- Demonstrated experience providing professional support to senior executives in an office environment.
- Solid knowledge of administration and operation processes and best practices.
- Strong abilityin using MS Office (MS Outlook, MS Excel, MS Word and MS PowerPoint, in particular).
- Experience with contracts and management or aptitude to learn quickly.
- Excellent attention to detail, organisation and planning capability.
- The ability to work on multiple tasks simultaneously while maintaining accuracy.
- Outstanding written and verbal communication skills.
- Capacity to handle sensitiveinformation and maintainhigh level of confidentiality.
- Strong interpersonal skills, the ability to collaborate and build relationships across the business units
