The EA is responsible for supporting the Cluster General Manager and Leadership Team for Pandora Australia and New Zealand and to ensure the smooth day to day running of the organisation.Key responsibilities:
- Diary management and coordination of business appointments, including scheduling, booking of meeting rooms.
- Process and prepare expense claims, including raising purchase orders and reconciling invoices
- Manage travel and accommodation requirements for the leadership team as required and organise travel needs for clients/guests as required
- Set up new employee profiles on the online booking platform
- Meeting attendance
- Prepare and distribute agendas and minutes of a variety of team meetings and other leadership meetings, including following up on action items.
- Prepare and format presentations and documents
- Organise events including workshops, executive team visits, team social gatherings
- Organise stakeholder meetings and events
- Organise monthly Birthday Breakfast, Pandora E-cards and gifts
- Attend to any personal requests from the General Manager
- Support Office Manager with Office events
- Organise SLT workshops and off-site meetings
- Manage all logistics including travel, accommodation and catering
- Project support as assigned
- Handle confidential information, maintaining the highest levels of discretion and integrity
The successful candidate- 3-5 years' experience in a similar role
- High attention to detail & process improvement skills
- Ability to collaborate cross-functionally
- Excellent problem solving skills
- Ability to multitask and work to tight deadlines
- Skilled in building and maintaining positive relationships with customers and colleagues, demonstrating adaptability in interacting with individuals at all levels.
