What we are looking for
Reporting to the CEO, the Executive Assistant (Board Governance) is a key role to the effective and efficient functioning of the Executive team and TDHS Board by undertaking Secretariat duties for the Board and its sub-committees. From time to time assistance provided to other Executive Assistant (EA) team members to complete general administrative tasks.
Duties include:
- Executive support: Manage CEO's diary, coordinate meetings/events, maintain office systems.
- Board assistance: Provide detailed support, arrange meetings, prepare reports.
- Continuous improvement: Commitment to quality, innovation, and customer focus.
The hours are full-time per fortnight 76 hours or 80 hours with one accrued day off per month. Terms and Conditions of Employment will be in line with Victorian Public Health Sector (Health and Allied Services, Managers and Administrative Workers) Single Interest Enterprise Agreement 2021-2025.
What you will need
To be successful in this role you will have:
- Proven ability in Board secretariat responsibilities including sound public service governance.
- Demonstrated capacity to determine priorities, meet strict timelines and work under pressure with minimal supervision and as a member of a team
- Information is conveyed in a way that is professional (fit for purpose), clear, relevant to the audience (or audiences) and is consistent with TDHS’ branding
- Uses a wide range of software application and its features for preparation of documents, coordination of meetings and general administrative tasks; assists others with problem-solving on word processing and related applications
- Cooperates and works well with others in the pursuit of team goals, shares information appropriately and gains the support of others
