This is a multifaceted role that will cover a broad range of the business from client service and accounts support, establishing internal systems and processes and general administration. The main purpose of this position is to help the Director to shift the pace of delivery & growth moving the business to a new level of operations. 

About the job

As an Executive Assistant/ Business Operations Coordinator/ Project Administrator, you will be a key player in enhancing outdoor trail networks in Australia.   Working in partnership with the Director this position will play an important role in managing the director schedule, implementing business growth strategies and supporting client delivery.

Executive Assistant

  • Calendar Management: Scheduling appointments, meetings, and managing the executive's calendar ensuring his schedule is focused on high value activity & in line with business strategy. 
  • Email and Correspondence: Screening and managing emails, drafting responses, and handling correspondence on behalf of the executive.
  • Travel Arrangements: Planning and coordinating travel arrangements including flights, accommodations, and transportation for the executive and other team members.
  • Communication Liaison: Nurture client & potential client relationships with prompt responses to enquiries 

Business Operations Coordinator

  • Bounce ideas & build an intimate understanding of the business & its other arms.
  • Work in liaison with the director and Accountant with business budgeting and planning in processing client invoices.
  • Develop various financial reports, manage operational budgets and monitor all efficiency indicators. 
  • Ensure all systems, processes and information management are managed efficiently and drives business outcomes. 
  • Produce dashboards, scorecards and reports from AirTable data. 
  • Work in liaison with our IT provider to manage our platforms. 

Project Administration 

  • Establish project governance structure and partner with the Project Leads to ensure adherence to project standards and governance. 
  • Work with Project Leads to develop and maintain client project budgets, facilitate steering committees and other governance activities. 

This is a work from home, full-time position however part time hours are most definitely up for consideration for the right applicant. 

About you

  • Significant experience supporting senior leadership who thrives on organising and getting things done.
  • Experience in a project management office (PMO) environment that wants more variety and can directly influence business performance through effective scheduling and monitoring.
  • Exceptional written and verbal communication skills.
  • Demonstrated client engagement experience; ability to build strong trusted relationships.
  • A highly collaborative working style, approachable and friendly.
  • Excellent judgement, attention to detail, great multitasking, and high motivation to get things done and operate with autonomy.
  • A committed individual with a stable employment history looking for a longer-term opportunity.
  • Experience with Microsoft particularly SharePoint sites.
  • Experience with AirTable would be highly regarded.
  • A believer in process – creating, monitoring, updating and always improving.
