Job description

I am partnering with one of Australia’s most successful Corporate Advisory teams who, due to continued growth, have the capacity to grow their business support team and hire an experienced Executive Assistant to work closely with a Managing Director and two Directors. 

The boutique nature of the business will offer the opportunity for someone to really make this their own, with the role offering a variety of responsibilities including managing the diaries of 3 Executives, organising complex travel itineraries and reconciling expenses. This fast-paced, high performing environment would suit someone who is driven, a confident communicator, and who can show initiative. 

Key Responsibilities:

  • Provide high quality executive assistance for Managing Director/Directors for them to work efficiently and effectively, including diary management, travel, expense reporting and other work-related requirements
  • Play a key support role in deal teams 
  • Assisting with ad hoc and ongoing tasks such as marketing, website & LinkedIn, Compliance etc.
  • General office assistance including but not limited to providing phone cover throughout the day, expense reconciliation, catering and events
  • Production of high-quality documents and presentations for clients in accordance with company standards, using existing templates in Word and PowerPoint
  • Print production and collation of the above-mentioned documents and presentations
  • Forge effective external connections with key stakeholders, customers, vendors, clients and advisors
  • Act as a valued member of the firm, taking the lead and showing initiative, and at all times contributing to the greater good of the team and firm

Ideal background: 

We are keen to talk to Senior EAs who positively embrace a high performance and entrepreneurial culture and display a drive for individual and team success. For your application to be successful, you will bring:  

  • 8+ years’ experience providing EA support to Senior Executives – ideally in a fast paced, professional services or Financial Services environment
  • Preferably previous experience in the Investment Banking/Legal M&A industry, or Financial Services more generally to facilitate quick understanding and uptake of terminology and practices 
  • Structured and organised style, strong attention to detail and commitment to delivering high quality work
  • Sound business acumen with ability to absorb information quickly to maximise efficiency and effectiveness
  • Exceptional written and verbal communication skills
  • Advanced user of Microsoft suite of programs
