About the opportunity
The Executive Assistant (EA) supports the Chief Corporate Services Officer (CCSO) and will collaborate with other Executive Assistants to coordinate key meetings and events, and to ensure a smooth and compliant office operation.
To succeed in this role, the EA will be well organised, excel at stakeholder relations, and like to stay one step ahead on diary management. This role will suit an EA who is interested in general business management, who works well within a compliance-focused culture, and being adept at broader governance processes including secretariate support for executive committees.
- Manage diaries and incoming mail and act as first point of contact.
- Review diaries, schedules and matters arising to anticipate the needs of the Executive in relation to travel plans, meetings, and supporting materials.
- Assist with assigned research work and projects (e.g. coordinating the collection and collation of data from the business)
- Monitor the follow through on action items arising from Board and Executive meetings.
- Attend and participate in meetings and take minutes as requested.
- Coordinate staffing matters such as performance reviews meetings and team leave calendars.
- Reconcile credit card expenses for the CCSO if requested.
- Support and monitor the update of divisional policies and procedures where requested.
- Support other Executives during times of EA absence.
- Support divisional Heads with ad hoc administration and coordination of meetings where such activities require some additional support.
- Provide secretariat to key Executive meetings as specified by the Executive.
- Minimum five years' experience as an Executive Assistant.
- Experience in managing meeting secretariat, including action minute taking.
- Experience in liaising effectively with senior stakeholders (e.g. CEO, Board directors/Company Secretary/Executives)
