About the role
Our Executive Director and Chairman of the Board are currently seeking a highly skilled, dynamic and resourceful Executive / Personal Assistant to provide effective and efficient administrative and co-ordination support to them both. You will assist with inbox and diary management, travel coordination, preparation and editing of reports, along with collating and formatting presentations. Your proactive approach in understanding and anticipating needs, will ensure your success as you remain highly focused and organised.
Key Responsibilities include:
- Exercise sound judgment and a high level of discretion at all times.
- Take a resourceful and pragmatic approach to problem solving
- Manage the Executive Director’s & Chairman of the Board’s schedule, appointments, and travel arrangements with a keen eye for detail and discretion.
- Diary & Email management as required, screening of calls and correspondence to both individuals, ensuring all records and files are maintained and accurate.
- Prepare/ review correspondence, reports, and presentations on behalf of the Executive Director & Chairman of the Board when required.
- Assist with the greeting of visitors and guests, Coordinating building and facility maintenance for our Cleveland St Office
- Support HR with updating organisational charts, the placement of advertisements and candidate screening
- Other general EA duties
The ideal candidate will be/have:
- Minimum of 10 years of relevant experience and proven track record in executive support roles.
- A tertiary qualification is preferred
- Exceptional organisational abilities to manage complex schedules, travel logistics, and information flow.
- Ability to thrive in a fast-paced environment, adapting to changing priorities and situations.
- Excellent written and verbal communication skills to interact effectively with internal and external stakeholders.
- High level of discretion and professionalism when handling confidential information.
- Keen eye for detail.
