Exhibitions Manager – The Lester Prize

The Lester Prize for Portraiture is a prestigious national art prize based in Western Australia. 2023 was a record year for the organisation with 950 entries received for the Main Awards Exhibition. With a prize pool worth $121,000 spanning across 11 prize categories, The Lester prize supports the advancement of artists both emerging and established from across the country.

Now in its 18th year, The Lester Prize seeks to enrich Australian artists and engage the public through its annual exhibitions at WA Museum Boola Bardip, as well as its regional touring schedule. The not-for-profit organisation is grounded in real people, telling real stories, to connect communities and promote visual arts across Australia. 

The Lester Prize is seeking a skilled and passionate Exhibitions Manager to join our close and collaborative team. This is a part-time (0.6 FTE) position reporting to the Executive Director that will oversee and manage all exhibition logistics and prize administration.

As an Exhibitions Manager, you will be responsible for but not limited to: 

  • Liaising with artists, exhibition venues and logistics partners to ensure all exhibition planning and execution is carried out efficiently and effectively, within indicated budget.
  • Establishing, maintaining, and communicating a detailed calendar of Key Dates (including Artwork Delivery & Collection schedule); ensuring deadlines are met.
  • Working with key transport, install, registrar and conservator staff to ensure artworks are transported, stored, installed, and de-installed safely and efficiently.
  • Working with key curatorial staff to develop exhibition layouts and didactics. 
  • Overseeing and supervising installation and de-installation of works by presentation partners and maintaining detailed condition reporting logs. 
  • Drafting and reviewing loan agreements between The Lester Prize and relevant partners, sponsors, and stakeholders.
  • Administration of prize entry, pre-selection, judging and finalist requirements.
  • Managing artwork acquisitions including invoicing and delivery.
  • Communicating effectively to develop relationships with existing and potential exhibiting artists, buyers, collectors and other stakeholders. 
  • Acting as the point of contact for Exhibition Finalists regarding all key exhibition season dates/events/duties.
  • Managing records, documents, filing systems, databases, and mailing lists.
  • Processing incoming and outgoing mail, including banking of entry fees and dispatching web orders.
  • System-based duties for Prize Terms and Conditions, Artist Profile Forms, Exhibition and Artwork Condition Forms, and Volunteer Callout Forms
  • Providing administrative support to the Executive Director and wider team. 
  • Assisting the ED with grant applications, funding submissions and acquittals 
  • Supporting the ED in the development and management of collaborative partnerships and sponsorships 
  • Undertaking any other duties which might reasonably be deemed to be within the scope of the role and having regard for the skills and qualifications relating to the role.

To be considered for this position, you must possess the following: 

  • A tertiary qualification in arts management or a related discipline, and/or equivalent demonstrated experience in a related field.
  • Previous experience within the arts sector will be highly regarded.
  • Previous experience in a government, government agency or not-for-profit setting will be highly regarded.
  • Experience with artwork acquisitions and art handling processes will be highly regarded.
  • Proven track record in building and managing relationships with a range of internal and external stakeholders.
  • Excellent interpersonal, communicative, consultation, and negotiation skills. 
  • Ability to be self-motivated, responsive and in an environment with time pressures and multiple priorities. 
  • Understanding and experience in managing budgets. 
  • Advanced skills in Microsoft Office Suite.
  • Experience using CRM database systems.  
  • Flexibility to work ad hoc hours where required. 
  • Excellent attention to detail and accuracy. 
  • A valid C Class Drivers License.
