Form of workAre you an organised person with experience in project coordination? Are you creative and keen to represent our expo and exhibition team throughout a project, working with clients from concept to delivery?
As an Expo Project Coordinator with the Xzibit team, your day will be dynamic, offering a variety of tasks and challenges. You will be a primary interface for our clients, guiding their projects from the initial enquiry through concept design, production, and installation. Throughout the project lifecycle, you'll maintain oversight, ensuring all details align with our client's vision and goals. Prior experience in the exhibition and expo space would be beneficial.
A typical day with us might include:
- Client Interaction: Engaging with clients to understand their needs, gather project requirements, and provide expert advice to bring their visions to life.
- Project Coordination: Overseeing multiple projects, ensuring they are delivered on time, within scope, on budget, and to a high quality.
- Organisation: You will prepare quotations, manage budgets, and ensure seamless coordination between all parties involved.
- Collaboration: Working closely with our internal team to capture and execute the ideas of our clients.
- Onsite Coordination: You may find yourself travelling with the team and supporting onsite installations across various locations, including interstate. This might involve some weekends and after hours, to support aspects of this role.
- Continuous Improvement: Embracing a mindset of continuous improvement through project debriefings and client feedback to enhance project delivery and client satisfaction.
We are looking for:
- Strong Project Coordination Experience: Demonstrated ability to manage and coordinate projects successfully, from inception to completion.
- Flexibility: Willingness to travel and work outside of standard hours, when necessary, with an understanding that the expo and exhibition industry doesn't always adhere to a 9-to-5 schedule.
- Exceptional Organisational Skills: You can plan, manage contingencies, and display excellent time management skills.
- Effective Communication: Strong verbal and written communication skills are crucial for dealing with clients and coordinating with team members.
- Attention to Detail: Keen attention to detail and strong computer literacy to ensure project specifications are met.
- Influencing and Negotiation Skills: The ability to influence and negotiate with all stakeholders to achieve the best outcomes for projects.
- Industry & Design Experience: Prior project experience in the exhibition and expo industry is highly regarded. Experience and/or exposure to design, printing and fabrication industries would also be considered favourably.
- Innovative and Collaborative: A creative mindset that thrives on collaboration with a team to bring visions to life, coupled with a customer-centric approach to service.
- Account and Budget Management: Experience in preparing quotations and managing project budgets is essential.
- Future Planning: Ability to plan for future expo’s, follow-up on leads, and continuously identify opportunities.
