Purpose of the Position
Australian Dairy Park (ADP) is a subsidiary of Ausnutria Australia. ADP is a global infant and adult formula manufacturing business manufacturing formulated milk powders for infants, toddlers, and adults.
The Export Coordinator will be responsible for raising sales orders and managing logistical arrangements and documentation processes for local and overseas distribution of dairy products to ensure seamless customer service for international trade.
Reporting to the Director, Supply Chain and Operations, this position requires meticulous attention to detail, exceptional organizational skills, and a commitment to delivering outstanding customer service to both internal and external customers.
Key Responsibilities
- Coordinate and Monitor shipment movements with forwarders and shippers from the beginning to the end of each job, tracking progress and identifying potential issues.
- Provide professional customer service to international and Australian customers, addressing inquiries, resolving issues, and ensuring satisfaction throughout the shipping process.
- Book shipping container space on vessels directly with shipping lines, or via freight forwarders, and coordinate all necessary transportation arrangements efficiently.
- Prepare and issue export documentation accurately and promptly to meet customer deadlines.
- Create, review, and collate shipping-related documentation – including but not limited to Commercial Invoices, packing lists, certificates of origin, and shipping instructions.
- Liaise with the sales, Warehouse, Operations, Finance and Quality teams to coordinate shipments, streamline processes, and address any logistical challenges.
- Perform data entry and general office administration duties related to export documentation and logistics management, ensuring all records are accurate, up-to-date, and compliant with regulatory requirements.
- Receive and review order details and raise sales orders from both internal and external customers
- Verify export documents for compliance with local and international regulations, checking final Commercial Invoices against contracts and completed orders, and raising any amendments required with agents and customers as required
- Engage with clients, transport/courier companies to guarantee the adherence to deadlines and cut off times.

Education and Experience
- Proven experience in a similar role within the export/import industry, with a strong understanding of export documentation requirements, shipping procedures, and international trade regulations.
- Previous exposure to the dairy industry, is desirable.
- Ability to read and speak Chinese would be an advantage
- High school year 12 or equivalent qualification required; additional certification or training in logistics, international trade, or related field preferred.
