Job Description
The Facilities Works Coordinator holds the responsibility of ensuring the delivery of all Facilities Management Helpdesk services in an efficient and effective manner.
About the role:
- Responsively addressing and appropriately managing customer support requests via Urbanise (the company's Helpdesk software), phone, or email, adhering to specified Service Level Agreements (SLAs)
- Maintaining asset registers up-to-date on CMMS/archives, bulk uploading when new assets are identified.
- Handling landlord-related requests for repair, Liaising with the landlord or their agent via email and phone. Following landlord cases through to completion/resolution.
- Regularly following up on assigned jobs and escalating to the National FM any jobs that may not meet required Service Level Agreements, providing feedback on vendor performance through defined escalation paths.
- Escalating issues of specialized complexity to subject matter experts when appropriate.
- Actively participating in team projects aimed at enhancing service quality and providing regular feedback.
About you
- Prior experience within a workplace/facilities services environment
- Demonstrated effective communication at all levels.
- High attention to detail with the ability to interpret and analyse information.
- Ability to resource information.
- High level of organisation and prioritisation skills and managing multiple tasks.
- Excellent follow-up skills to see tasks through to resolution and communicate problem status to end users such as notification of completion, notification of delay, and rationale.
- Accurate data entry skills.
- Ability to work autonomously and approach activities with initiative.
- Encourage continuous improvement.
