Position Overview: We are currently seeking a reliable and proactive Office Administrator to join our team on a casual basis. The Office Administrator will play a key role in providing administrative support to ensure the smooth and efficient operation of our Family Day care service.
Key Responsibilities:
- Greet visitors, families, and educators in a friendly and professional manner, and provide assistance as required.
- Answer phone calls, respond to inquiries, and handle general email correspondence.
- Assist with enrolment inquiries, process enrolment forms, and maintain accurate records of child registrations and attendance.
- Manage the office filing system, including organizing and maintaining electronic and paper documents.
- Assist with the preparation of invoices, receipts, and payments, and maintain financial records.
- Coordinate and schedule appointments, meetings, and training sessions for staff and educators.
- Assist with the recruitment and onboarding of Family Day care educators, including processing applications and maintaining records.
- Provide administrative support to the Nominated Supervisor and management team, including preparing reports, presentations, and correspondence.
- Assist with the organization of events, workshops, and professional development activities for staff and educators.
- Update and maintain service Facebook account and website
Qualifications and Skills:
- Previous experience in an administrative role, preferably in a childcare or education setting.
- Strong communication and interpersonal skills, with the ability to interact effectively with a diverse range of stakeholders.
- Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines.
- Proficiency in Microsoft Office suite (Word, Excel, Outlook) and experience with database management systems.
- Attention to detail and accuracy in data entry and record-keeping.
- Ability to work independently with minimal supervision and as part of a team.
- Knowledge of relevant legislation and regulations governing Family Day care services in Australia (desirable).
- Current First Aid, CPR, and Anaphylaxis training (desirable).
- Valid Working with Children Check (WWCC) or equivalent clearance.
