In this pivotal role, you will play a vital part in overseeing the day-to-day operations of our national Trust Function. You will be entrusted with ensuring all processes, documentation, and handling of trust monies adhere to Trust Regulations and our internal firm policies.
Responsibilities
- Take complete ownership of the daily operations for six trust accounts.
- Process all trust fund receipts and payments with accuracy and efficiency.
- Conduct thorough daily reconciliations of trust bank accounts, ensuring flawless accuracy.
- Set up trust account payments meticulously, adhering to internal procedures and obtaining timely Partner authorisation.
- Maintain clear and consistent communication with all stakeholders across the firm, keeping them informed of trust account obligations.
- Guarantee unwavering compliance with trust account regulations as outlined by the relevant state Law Societies.
- Prepare comprehensive monthly trust reports for review by the Financial Accounting Manager.
- Champion paperless strategies within the trust function, actively transitioning towards electronic paperwork and filing.
- Reconcile and follow up on dormant trust monies in a timely manner, as per established firm policy.
- Distribute client trust account statements promptly to ensure transparency.
- Prepare yearly reports for trust audits and liaise effectively with auditors and Law Societies representatives.
- Verify State requirements for Special Deposit Accounts (SDAs) and meticulously maintain appropriate balances.
- Stay abreast of all relevant legislation and Law Society trust account regulations, communicating any changes promptly within the firm.
- Assist the Accounts Payable team with invoice and payment entry when necessary.
- Provide support to the Collections team with cash receipting as required.
- A meticulous eye for detail, coupled with exceptional organisational skills.
- A self-motivated individual with a proactive approach to problem-solving and a solutions-oriented mindset.
- Excellent communication skills that allow you to clearly articulate information across all levels of the firm.
- Prior trust accounting experience within a legal firm environment is highly regarded.
- Studying towards or possessing an Accounting Degree/Diploma is a significant advantage.
