LJ AIR are an independent, Canberra based HVACR company. We are an energetic passionate friendly team. We are looking for a reliable and enthusiastic Full-time Receptionist/Office Support Officer to join our team. Work from home independently, 40 hours per week Monday to Friday 8:00am - 4:30pm. Occasionally, meet in person at the Office for team meetings.
Key Responsibilities include (but are not limited to)
- Answer the telephone and take messages or forward calls where necessary
- Schedule and confirm appointments and maintain booking calendar.
- Ensure the smooth running of the job bookings
- Data Entry, enter customer details and work orders. Action work orders accordingly
- Respond to online customer enquiries and emails
- Provide clients updates on the time/status of jobs
- Work collaboratively with the Admin Manager in data entry, organising and maintenance of the software/booking system.
- Assist Company Director and Operations Manager with administration duties as reasonably requested
- Organising and filing jobs in correct status electronic folders.
- Ensuring jobs are accurately categorised pertaining to the urgency, action required and ready for billing.
Skills & Experience Required
- Fast learner, effective confident communicator with excellent phone manner desired. Previous experience in a similar role desired.
- Confidence with technology, particularly with a booking appointment system software or similar, Windows 10 / Office 365
- Ability to work with minimal supervision and to prioritise workload, good time management
- A team player who is happy to ‘jump in and help out’ when required by your fellow teammates
- Willingness to learn and participate in training
