Salary: IBA Level 3 ($79,947 - $86,866)

The Digital Transformation Division oversees a number of projects and initiatives, the outcome of which will stabilise the underlying ecosystem and build upon the foundations in order to deliver IBAs strategic goals.
Role:
The IT Administrative Officer reports into the IT Business Operations Manager and is responsible for undertaking a variety of administrative functions across the ICT Team. This includes payment of IT invoices, meeting agenda and minutes, Telstra billing, IT budget tracker, IT procurement support, IT Hardware asset administration and supporting IT Functional Leads.
This is considered a critical role and requires that they also have the capabilities to develop and maintain documentation of all the processes under their area of responsibility.
Duties:
- Facilitate correct payment of ICT Invoices and be the central liaison to Finance for all ICT invoice matters.
- Maintain the master ICT Contracts and Software registers, annual ICT Budget actual worksheet, and Contract/Vendor evaluation documents.
- Monitor the ICT Invoices inbox, drafting replies to less complex enquires.
- Prepare documents for ICT team meetings and vendors meetings, including minutes, agendas and meeting requests.
- Act as a Homebase coordinator for your home site, ensuring that the IT Hardware Asset Station is managed in accordance with the IT Hardware Asset Station Handbook.
- Provide procedural, administrative and operational support the Information Management team.
- Other duties as required.
Required capabilities

Knowledge and experience
- Experience working in an ICT team or performing administrative functions.
- Experience working with Service Now as an IT Service Management tool.
- Experience working with and managing ICT budgets and vendors.
- Office 365 experience working with Excel, MS Teams and Sharepoint.
Skills and attributes
- Technical acumen and comfortable working on different technology platforms.
- Good oral and written communication and the capacity to be flexible in balancing priorities to meet/exceed customer needs.
- Proven high attention to detail.
- Demonstrated capacity for translating thought into action and being fully accountable for results.
- Diplomatic, ability to work across both Business and IT teams.
- Ability to engage stakeholders and to converse with both end-users and IT employees at all levels of the organisation.
- Analytical and research skills, with the ability to collect and analyse complex material and data, and present in accessible form.
- Thrives in complex and ambiguous situations.
Cultural Capability
- Awareness and understanding of Aboriginal and/or Torres Strait Islander societies and culture.
- Ability to liaise and communicate sensitively and effectively with Aboriginal and Torres Strait Islander staff.
Desirable:
- At least 2 years’ experience in a similar role.
- Certified or undertaken education in management of minutes and agendas.
