About the role

Kick-start your events career by delivering high quality guest services to optimise our client experience for our L&D program participants, members and visitors as well as provide administrative support for the seamless planning and delivery of L&D programs. This is an opportunity for an enthusiastic & highly-organised events graduate or hospitality professional to join & start your career pathway in our dynamic L&D Delivery team. 

Responsibilities

  • Manage the reception desk to meet and greet IML L&D program participants, members, and visitors including alerting team about arrivals, assisting guests with accessing rooms, WiFi access, refreshments etc.
  • Provide IT and any other venue support as required by facilitators and guests.
  • Assist with set up, preparation and clean-up of programs and events including catering, room set-up and kitchen duties. For example: coffee machine fully operational at all times, catering provisions available, dishwasher stacked & unstacked. 
  • Maintaining the professional office presentation.
  • Managing general office queries and assistance, including support with organising couriers and postage.
  • Order program & office supplies stationary supplies for multiple office locations. 
  • Printing, collating, and distributing program materials.
  • Prepare and distribute participant certificates.
  • Collate & distribute participant feedback reports.
  • Liaising and coordinating any office or administrative support as outlined above that is possible remotely for other IML offices.
  • Support the L&D Events Specialists with the end-to-end delivery of training courses.

Experience & attributes required

  • Qualifications in events or hospitality management or previous experience in the adult education & learning and development sector will be highly regarded. Otherwise, work experience in an event, hospitality or administration role is also desirable.
  • Strong customer focus with excellent client-facing communication skills, both written and verbal.
  • Very good time management and organisational skills demonstrated by the ability to multi-task and remain calm under pressure.
  • Highly motivated with sound interpersonal and communication skills so has the ability to work effectively in a team or independently. 
  • Strong attention to detail.
  • Possess strong problem-solving skills and the ability to make decisions as per standard operating procedures and know when to escalate issues to management.
  • Sound technical skills including the use of the Microsoft Office Suite and experience in Salesforce, Mission Control or similar systems desirable.
