ABOUT THE COMPANY
NECA is an Industrial Association representing the interests of the electrical and communications contracting industry across Australia, for over a century. As a not-for-profit thriving business and association, we pride ourselves in providing excellent service, guidance and advice to our members to help them build stronger businesses and to represent their interests to the government. Being the peak industry body within Australia, we also provide support, education, training, legal advice and supply of uniform through our secondary businesses to meet the needs of our members. 

Primarily, our goal is to lift the standards of the Electrotechnology Industry and provide a voice and fight for the rights and interests of our members, while delivering critical information to ensure that our members remain in front of changes that may affect the Industry. 

Our legal practice primarily represents the Electrical industry and NECA members. Our areas of practice include:

  • building and construction law, ranging from construction disputes (including litigation), project and contract negotiation;
  • corporations law;
  • commercial litigation; and
  • employment law.


ABOUT THE ROLE
Reporting to the Solicitor Director and CFO, we are looking for an energetic Legal Admin Assistant to join our legal practice. This role is primarily responsible for high quality secretarial services and accounts support, and helping to promote the NECA Group as a high quality, professional service.

This is a full time role based in Chullora with two working from home days upon completion of training.

DUTIES AND RESPONSIBILITIES

  • Draft correspondence 
  • Ensure proper processes and procedures are maintained for all matters undertaken and that all client files are kept current and accurately filed
  • Work with the Finance Department to ensure effective processes are put in place for invoicing clients and to ensure that client debts are managed
  • Perform monthly billing process and follow up outstanding invoices with clients
  • Opening and closing of files 
  • Monthly billing using LEAP and other similar file management and billing software
  • Following up monthly billing with clients
  • Tracking files and deadlines through diary management
  • Client liaison
  • Filing court documents if required
  • Conduct ASIC searches if required
  • Participate in professional training courses when reasonably required or requested to do so
  • Photocopying, filing and scanning 
  • Responding to enquiries
  • Check and manage trust accounts daily
  • Following up outstanding payments
  • producing pre-billing guides, invoices for members and managing unpaid bills
  • Other relevant duties as directed


ESSENTIAL CRITERIA
The suitable candidate should possess the following skills:

  • The ability to work independently
  • The ability to produce quality documents and correspondence
  • The ability to perform end of month billing and follow up outstanding accounts
  • Excellent prioritisation and coordination skills with the ability to meet competing deadlines
  • Excellent written and oral communication skills
  • Work cooperatively with others and model and promote team player behaviour
  • Demonstrated skill in working as part of a team, fostering good client relations and working with people from diverse backgrounds
  • Ability to deal with difficult clients
  • Discretion and confidentiality
  • Experience working with Leap and MYOB would be advantageous
