The purpose of this role is to assist the Directors of the Company by performing administrative duties. This will involve drafting legal documents, managing schedules (diary/calendar), and running general administrative tasks for the office, including accounts. Typical tasks will involve;
- Email management; including responding to emails from the Court- providing appearance details to the Court for hearings
- Sending automated texts and emails to clients
- Downloading court orders from the court portal and saving them into the client file, then diarizing key court dates and filing document dates
- Filing court documents on the online courts portal and then serving them by email
- Completing basic admin court forms, filing them on the court portal, and then serving them by email
- Drafting basic correspondence
- Record keeping - Developing excellent data management and record-keeping systems for the administration function in the business.
- Briefing counsel and preparing E-briefs (online system for court documents for each court matter)
- Opening files and file management
- Processes and Procedures
- Identify opportunities for process and system improvement and implement those improvements
- Record all processes in the document management system in written format and using other productivity apps and programs, eg: Loom
- Accounts
- Trust to Office transfers
- Creating and issuing invoices, receipts, and Trust Receipts
- Monitoring general expenses
- Paying disbursements, office invoices, and bills and keeping records of them
- Requesting further trust funds
- Reconciling Xero and communicating with the bookkeeper
- Trust End of Month
- Processing pays
- Advising the bookkeeper in relation to casual time sheets
- Paying Super, IAS, and BAS
- Reporting to management
- Generating end-of-month reports from Xero and Smokeball and providing them to management for review
- Recording business operational data and collating it for management to review
- Preparing staff meeting agendas and minutes
- Assisting with basic social media posting
- Client onboarding
- Assisting with managing the client booking system and booking appointments for clients
- Prepare templates and precedents
