Chandler Macleod, in collaboration with Santos, is currently seeking a Logistics Administrator to join the team located in Darwin, NT. This role is responsible for coordinating the movements of material into and out of the Bayu Undan field, ensuring that Santos and Santos’ contractors comply with Australian Customs and Biosecurity regulations, as well as Timor Leste Customs and ANP regulations. Provide logistics and administrative support to the Team Leader Logistics NT and Logistics Specialist, ensuring compliance in the role of offshore support.

Core Accountabilities include:

  • Coordinate Logistics activities in accordance with issued transport schedules
  • Ensure Contractors provide the correct detail for their exports/imports that will be manifested as cargo.
  • Coordinate and prepare air and sea freight cargo in compliance with relevant export/import requirements and regulations, for both Australia and Timor Leste
  • Prepare export air and sea freight cargo documentation to be submitted for Australian and Timor Leste Customs declaration
  • Coordinate, prepare and schedule Material Movements for items transiting the Darwin Supply Base
  • Monitor and record vessel crews, movements, and fuel consumption, reporting to Finance and Autoridade Nacional Do Petroleo (ANP)
  • Collaborate with various internal and external customers to resolve logistical issues
  • Provide coverage and support to the Logistics Specialist
  • Provide coverage and support to the Materials Coordinators
  • Perform overflow work issued by the Team Leader Logistics NT
  • Work with Customs Broker, Vendors and Dili Heliport to ensure airfreight arrives at BU as reqd
  • Ensure hired equipment is returned to vendors in a timely and cost-effective manner
  • Identify and participate in continuous improvement activities
  • Ensure documentation is kept in compliance with Records Management policies
  • Provide support in all aspects of the daily running of the office
  • Oversee Supply Base Administration, including local courier runs, ordering stationery, managing in-house catering, collection and distribution of mail, updating files and coordinating miscellaneous Marine and Aviation functions

This assignment is initially offered for 12 months, engaged via Chandler Macleod.

Location for this assignment is Darwin, NT, working full-time hours.

About You:

  • Experience in a similar position within a logistics/shipping environment
  • Excellent knowledge of Microsoft Office Suite
  • Demonstrated experience in a complex administrative role and work under pressure
  • Demonstrated knowledge of Australian Border Force and Biosecurity requirements
  • Excellent communication skills, both written and verbal
  • Demonstrated ability to work autonomously and make decisions
  • High attention to detail with the ability to use initiative
  • Skilled at prioritizing workload and work to critical time schedules

Preferred Experience & Qualifications:

  • Holder of Maritime Security Identification Card
  • Sound knowledge of International Maritime Dangerous Goods Code
  • SAP (S/4HANA) – EWM/IM in Warehousing and Logistics
  • Experience with Travel and Accommodation Booking System (TABS), or similar Personnel/Travel Management Software
